Sorting Flags in Outlook with the help of a Custom toolbar



Given the large number of emails that we end up receiving everyday, using flags to mark important emails becomes a necessary task. At times we use flags of different colors and contrasting their purpose may become difficult if you have not clearly written down what they stand for. By creating a custom flag toolbar you clearly assign precise terms for each flag and standardize their usage. Incidentally creating a flag toolbar is rather necessary when you are using Outlook to manage work in a team as all team members should be clear about the essence of each flag. Failure to do so can lead to judgment errors by your team mates who may misjudge the purpose of a specific flag color. For example the Purple flag that you may have used to mark a specific project can be mistaken as a client reference.


Creating your own custom flag toolbar

It is important to note that you can add flags to an existing tool bar too, however creating a separate toolbar is a better choice. To do so just follow the steps given below

  1. Launch the Outlook application and move on the Tool tab.
  2. Next scroll down to Customize and click on it
  3. In the screen that shows up you need to click on the Toolbars tab and hit on New to create a new toolbar. You would also have to specify a name to it.
  4. Moving on to the Customize tab, you need click on Commands and then choose Actions from the list.
  5. Next you have select and drag individual flag colors to the custom toolbar. It may so happen that the custom toolbar may be overshadowed by the dialog box. Just look near it and drag it forward.
  6. Once you have added the flags to the toolbar you need to right click on any of the flags and then change the Name setting to something more meaningful. For example you can change Green flag name to Client meeting.
  7. Ideally you should mark precise names for all the flags in the toolbar

If you are using Outlook in a team you can encourage other team members to create a similar toolbar with the exact names so that everyone can be on the same page.
