Dealing with Spam in Ms Outlook



With email becoming one of the primary means
of communication, its use to promote goods and services of varies hues have come into prominence. Typically in a given day you are likely to come across numerous emails which try to solicit your interest for a specific offering on which you have absolutely no interest in. Working with Outlook Spam Protection Options

The Ms Outlook client uses a sophisticated spam filtering technique to mark out junk emails. To view the available choices just click on Tools then move to Options and click on Junk Email on the default screen. On click the Junk email options comes up where you get the flexibility to set the level of filtration as per your needs. For example you are encountering few spam emails a day then you can keep the setting at Low. However if you have inundated by spam emails and chocked with them just select setting to High which would ensure most junk emails to be separated.


Blocking Habitual Spammers

If you are receiving continuous spam from certain ids, you can choose to block those individual emails IDs by using Block Sender option. Interestingly Outlook allows you to import a whole list of blacklisted email IDs into Blocked Senders list in one go.


Block Emails from Top Level Domains
      
At times you may end up receiving a lot of unsolicited email from top level domain names belonging to a specific foreign country. In Outlook you get the facility to block emails from top level domain names or block the emails based on their encoding type. Both these options are available under the International tab in the Junk Email options screen.


Using Outlook Rules to Filter email by subject

You can also use Outlook rules to filter out messages based on their subject line. For example if you are being pestered by emails from property brokers, you can create a Rule to filter messages that include the text “Real estate” in the subject line.


Backing up your Outlook application for securing your data

As a best practice always make it a point to back up your emails on a regular basis. You can either export the emails into backup folder or use a third part utility to schedule regular backups.
