Quick Tips on Appointment Options in Outlook Calendar



Owing to our busy schedules we need to
set appointments in advance, whenever we are looking to meet an individual or engage in a group activity. Outlook offers us a very proficient mechanism to create appointments, send meeting requests and even book meeting rooms with effortless ease. One of the most interesting features of Outlook is its flexibility and it also extends to Appointments too. Apart from the standard options there a lot more you can do with appointments which we will explore in this article.


Changing the Default time intervals

The Ms Outlook Calendar has clear cut default time block of thirty minutes. However it gives you the flexibility to modify it as per your needs. Just right click on the Calendar main pane and in the drop down options you will find several choices for time intervals. Choose the one; say 60 minutes, which meets your preference.


Altering the Default reminder time

Whenever you create an appointment in Outlook, it typically alerts you with a reminder fifteen minutes before the event. While you can always use the drop down menu which appears next to the reminder time to adjust the duration, more often than not we forget to do so. Now can essentially change the default reminder time to something more suitable say 1hr which gives you a heads up to prepare for the appointment. To do so, just follow the steps given below

  1. Launch the Outlook application and move to the Tools tab
  2. Next click on Options and in subsequent screen look under calendar heading under Preferences
  3. Mark the Default Reminder checkbox and then set the default reminder time to one that meets your need

Creating Reoccurring Appointments in Outlook

In offices there are typically review meetings or team huddles that take place every week. Instead of setting up an appointment each week, you can create a reoccurring appointment and distribute it to all your team members. To do so, create a new appointment and enter the relevant details. Then click on the Recurrence tab and set the relevant timings and enter the Recurrence pattern. You can choose it to repeat daily or on a weekly or monthly basis. You can also schedule an appointment a particular day, say Tuesday, of every week. Moreover if you believe a certain appointment needs to be repeated for a given period of time, say six months, you can set the duration by entering values in the Range of Recurrence option.
