Scheduling the Delivery of Emails Using Ms Outlook



Given our hectic schedules we tend to miss a host of occasions and it is hardly surprising that at times we may fail to wish some of our friends on their birthdays. However if you could schedule a Birthday card to be emailed at a specified date, then it is likely that you will never fail to wish a valued friend. Well with Ms Outlook it is extremely easy to schedule emails for a future release and you can set the delivery date by following the steps mentioned below


Scheduling a Delivery Date

To start with, launch a New Message and once the screen opens up, click on the Options tab of the message. In the subsequent screen, go down to the option where it mentions “Do not deliver before” and select the field and place your preferred date. Interestingly Outlook gives you the option to even choose the delivery time on the preferred date as per your need. In case you are looking at a varied delivery schedule, where you wish to send emails to different people at different time intervals, you can look to use a third party email scheduling add-on tool.


Delay the delivery of all outbound emails

Sometimes when you send out an email, you suddenly remember that you have missed out something or have mistakenly sent the email to someone else. For those of us who have stressed out and hectic lives, a feature to delay the outgoing emails by a couple of minutes can be a lifesaver. Outlook recognizes this need and allows you to delay all your emails by certain minutes as per your need. To achieve the same you need to create a New Blank rule and chose the option of Check Message after sending. Next you would have to go the Conditions tab and select the “defer delivery …” option and in the bottom pane you can see the condition as underlined. Click on the same and then in next screen enter the number of minutes by which you want the messages to be delayed. It is important to note that the delivery of emails can be held back to a maximum of 2 hours only.


Keep a Schedule for Backing Up your Outlook data

While many of us tend to keep all our official communication stored in the Ms Outlook client, a very few of us care to actively backup our emails. Since the Outlook client can crash with an alarming frequency, it is always wise to backup your data on a periodic basis and create a schedule for the same.
